POSITION PURPOSE/SUMMARY The Purchasing Department Secretary plays a crucial role in supporting the efficient operations of the purchasing department within a public school district.
This position is responsible for providing administrative and clerical support to the purchasing department staff, managing records, and assisting with procurement-related tasks.
The Purchasing Department Secretary must ensure compliance with district policies and procedures while maintaining accurate records and facilitating effective communication with vendors and district personnel.
QUALIFICATION REQUIREMENTS Director's secretaries shall have a high level of competence in clerical skills as demonstrated by the District's skills assessments and possess proficiency in Microsoft Office and Google Office Suite.
This position requires a minimum of one-year professional secretarial experience.
ESSENTIAL DUTIES Record Keeping:
Maintain accurate and up-to-date records of purchase orders, invoices, and receipts.
Assist in tracking and managing procurement contracts, agreements, and vendor performance.
Prepare and maintain inventory and asset records as required.
Procurement Assistance:
Assist with the preparation and distribution of bid documents and requests for proposals.
Coordinate and schedule meetings and appointments for the department.
Assist in the procurement process, which may include preparing purchase orders, obtaining quotes, and ensuring compliance with procurement regulations.
Vendor Communication:
Communicate with vendors regarding product inquiries, order status, and delivery schedules.
Handle routine vendor inquiries and requests in a professional and timely manner.
Assist in the vendor registration process and maintain vendor contact information.
Reporting:
Prepare and maintain reports related to purchasing activities and expenditures.
Assist with generating data and statistics for budgeting and financial analysis.
Compliance:
Ensure that all procurement activities comply with the school district's policies, regulations, and applicable laws.
Assist in monitoring and maintaining compliance with vendor contracts and agreements.
ADDITIONAL DUTIES Effectively communicate, verbally and in written form, with administrators, staff, and the community as needed.
All other duties as assigned by the supervisor.
Maintain the confidential nature of all school-related matters.
Operate office machinery.
MENTAL DEMANDS Ability to maintain highly confidential information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions.
Solve a variety of problems in many different situations and perform in a fast-paced environment.
PHYSICAL DEMANDS While performing the duties of this position an employee is regularly required to sit, talk, and hear.
This position will also be charged with working in a warehouse for inventory control.
Close vision ability to look at a computer screen for long periods of time is required.
TERMS OF EMPLOYMENT Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave.
The director's secretary will be provided a work calendar showing the specific daily work schedule of the employee.
The work calendar may be modified by the Board of Education at any time, as needs dictate.
Eight hours will constitute a workday.
The Assistant Superintendent of Personnel will establish a definite daily schedule.
The yearly salary will be disbursed in twenty-four (24) equal payments.
EVALUATION End of the year performance evaluations will then continue annually in accordance with the provisions of the Board's policy on evaluation of support staff personnel.
